1. Who we are
Novatech (“Novatech”, “we”, “us” or “our”) is a software company that designs and builds mobile applications, web platforms, business systems and AI products. This policy applies to:
- our website at novatechsai.com (the “Website”);
- the applications, dashboards and platforms that we operate and that link to this policy (the “Applications”); and
- communications you have with us by email, phone or through our contact form.

2. Information we collect
2.1 Information you give us
When you contact us — through the contact form, by email or by phone — you may provide your name, email address, phone number, company name and any details you choose to share about your project. Our contact form opens your own email application; the message is sent from your email account to ours.
2.2 Information collected automatically
When you visit the Website, our hosting servers automatically record standard technical information in server logs, such as your IP address, browser type and version, operating system, the pages you visit, the referring page and the date and time of your visit. We use this information to keep the Website secure, diagnose problems and understand how it is used in aggregate.
2.3 Preferences stored on your device
The Website remembers your language (English / French) and theme (light / dark) choice using your browser's local storage. These preferences stay on your device and are not transmitted to us.
2.4 Information processed in our Applications
Where we operate an Application — for example a warehouse, inventory, rental, surveillance or AI platform — the Application may process:
- Account information such as your name, email address, username, role and organisation;
- Device and usage information such as device model, operating system, app version, identifiers, crash reports and activity logs needed for security and audit trails;
- Content you enter such as inventory records, bookings, documents, images, scans and messages;
- Device permissions that you grant, such as camera (to scan barcodes or capture photos), storage / photos (to attach or export files), notifications (to alert you about activity) and, where a feature requires it, location. Permissions are used only for the feature they support and can be revoked at any time in your device settings.
Many of our Applications are operated on behalf of a business client (for example, your employer). In that case, the client decides what data is collected and why, and we process it on the client's behalf under our agreement with them. The client's own privacy notice will apply in addition to this policy.
3. How we use information
We use the information described above to:
- respond to your enquiries, prepare proposals and communicate with you about projects;
- provide, operate, maintain, secure and support the Services;
- authenticate users, enforce access controls and keep audit logs;
- improve our products, fix bugs and develop new features;
- send service communications such as security notices, updates and changes to our terms;
- comply with legal obligations, resolve disputes and enforce our agreements.
We do not sell personal information, and we do not use it for third-party advertising.
4. Legal bases
Where data-protection law (such as the EU/UK GDPR) requires a legal basis for processing, we rely on: performance of a contract (to deliver services you or your organisation have requested); legitimate interests (to run, secure and improve the Services and respond to enquiries); consent (where you have given it, for example for optional device permissions — you may withdraw it at any time); and legal obligation (where we must process data to comply with the law).
5. Cookies & local storage
The Website does not use advertising or cross-site tracking cookies. We use browser local storage only to remember your language and theme preference. Our Applications may use strictly necessary cookies or tokens to keep you signed in and protect your session. If we introduce analytics or other non-essential technologies in the future, we will update this policy and, where required, ask for your consent.
6. How we share information
We share personal information only in the following circumstances:
- Service providers — hosting, cloud infrastructure, email and monitoring providers that process data on our behalf under confidentiality and data-protection obligations;
- Google Fonts — the Website loads web fonts from Google. When the page loads, your browser sends a request (including your IP address) to Google's servers. See Google's Privacy Policy;
- Our clients — where we process data on behalf of a business client, that client has access to the data processed in their Application;
- Legal and safety — when required by law, regulation or legal process, or to protect the rights, property or safety of Novatech, our users or others;
- Business transfers — in connection with a merger, acquisition, financing or sale of assets, subject to appropriate confidentiality protections.
7. Data retention
We keep personal information only for as long as needed for the purposes described in this policy. Enquiries and correspondence are kept for as long as necessary to respond and maintain a record of our relationship. Server logs are kept for a limited period for security and troubleshooting. Data processed in an Application on behalf of a client is retained according to our agreement with that client and deleted or returned at the end of the engagement, unless we are required by law to keep it longer.
8. Security
We apply technical and organisational measures designed to protect personal information, including encryption in transit (HTTPS/TLS), role-based access control, authentication, audit logging and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but we work to protect your information and will notify you and the relevant authorities where the law requires it in the event of a breach.
9. International transfers
Our service providers may store or process information in countries other than the one in which you live. Where we transfer personal information across borders, we take steps to ensure it receives an adequate level of protection, such as contractual safeguards with our providers.
10. Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to certain processing, to receive a portable copy of your data, and to withdraw consent where processing is based on consent. You also have the right to lodge a complaint with your local data-protection authority.
11. Children's privacy
The Services are intended for businesses and adults and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
12. Third-party links
The Services may contain links to websites or services operated by third parties. We are not responsible for their privacy practices, and we encourage you to read their privacy policies.
13. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top indicates when it was last revised. Material changes will be highlighted on the Website or communicated to you directly where appropriate. Your continued use of the Services after an update means you accept the revised policy.
